  • Customers who subscribe to Cadence FieldOps (“Customers”)
  • End users invited by Customers (employees, technicians, dispatchers) and individuals whose information Customers process using Cadence FieldOps (e.g., the Customer’s own clients)

1. Information We Collect

Information you provide

  • Account details: name, email address, phone number, business name, billing address, and login credentials
  • Profile and preferences (e.g., notification settings, time zone)
  • Communications you send to us (support requests, feedback)

Customer Data

When Customers use the Services to manage their own clients, crews, properties, schedules, and invoices, we process the information they upload (“Customer Data”). Customer Data may include contact information, service addresses, job notes, photos, and billing history.

Payment information

We use Stripe to process subscription payments and to enable Customers to accept payments from their own clients via Stripe Connect. Card details are submitted directly to Stripe; we do not store full card numbers. We retain limited transaction metadata such as last four digits, expiration, and Stripe identifiers to support billing, refunds, and reconciliation.

Information collected automatically

  • Device and browser information, including IP address
  • Usage data such as pages viewed, features used, and timestamps
  • Cookies, local storage, and similar technologies

2. How We Use Information

We use information to:

  • Provide, maintain, and secure the Services
  • Process subscriptions, payments, and refunds
  • Send transactional communications (account, billing, service notifications)
  • Provide customer support and respond to your requests
  • Improve the Services and develop new features
  • Detect, prevent, and address fraud, abuse, and security issues
  • Comply with legal obligations and enforce our agreements

3. How We Share Information

We share information with:

  • Service providers acting on our behalf, including Stripe (payments), Twilio (SMS delivery), email providers, hosting and infrastructure providers, and Intuit / QuickBooks Online for optional accounting integrations. These providers are contractually limited to using information only to provide their services.
  • Customers and their authorized users when you are an end user whose information was added by a Customer, or when a Customer directs us to deliver invoices or notifications to a third party
  • Authorities when we reasonably believe disclosure is required by law, subpoena, court order, or other legal process, or to protect rights, property, or safety
  • Successors in the event of a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, with appropriate confidentiality protections

We do not sell personal information.

4. Customer Data and Roles

When Customers use Cadence FieldOps to process information about their own clients and end users, the Customer is the data controller and we act as a data processor. Our use of Customer Data is governed by our agreement with the Customer and by their instructions. End users should direct privacy requests about Customer Data to the relevant Customer.

5. Communications and Messaging

The Services enable Customers to send service-related messages (email, SMS) to their own end users. Customers are responsible for obtaining any necessary consent and for compliance with applicable laws (including the TCPA, CAN-SPAM, CASL, and analogous laws). We will honor opt-out and STOP requests we receive directly.

6. Cookies and Similar Technologies

We use cookies and similar technologies for authentication, session continuity, preferences, analytics, and security. You can configure your browser to refuse cookies, but parts of the Services may not function properly without them.

7. Security

We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit and at rest, access controls, audit logging, and tenant-level data isolation. No system is fully secure; we cannot guarantee absolute security.

8. Data Retention

We retain personal information for as long as needed to provide the Services, comply with our legal obligations, resolve disputes, and enforce our agreements. When a Customer’s subscription ends, we delete or anonymize Customer Data after a reasonable transition period, unless retention is required by law.

9. Your Rights

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, to opt out of certain uses, or to object to or restrict processing. End users whose information appears in Customer Data should contact the relevant Customer first; we will assist the Customer in responding.

You also have the right to lodge a complaint with a supervisory authority in your jurisdiction.

10. Children

The Services are not directed to children under 13 (or the equivalent minimum age in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.

11. International Transfers

We may process and store personal information in countries other than where you live. Where required, we use appropriate safeguards (such as standard contractual clauses) for cross-border transfers.

12. Third-Party Links and Services

The Services may link to or integrate with third-party sites and services (including Stripe, Twilio, and Intuit QuickBooks Online). Those services have their own privacy practices, which we do not control.

13. Changes to This Policy

We may update this Policy from time to time. If we make material changes, we will notify you through the Services or by email. The “Effective date” above shows when the latest version took effect. Continued use of the Services after the effective date constitutes acceptance of the updated Policy.
